
A five-minute task should stay five minutes
A lot of admin drag comes from work that should have stayed small.
The task itself may only take a few minutes. The problem is everything that gets attached to it afterward. Someone has to restate what was done, paste the update into another system, adjust the format for a different audience, answer a follow-up question, and sometimes prove the same completion twice because the context did not travel with the work.
None of those steps look dramatic on their own. That is why they survive for so long. Teams rarely stop the day to question a five-minute task. But once enough extra handling builds around it, the task is no longer small. It becomes one more routine source of interruption, context switching, and cleanup.
This is one of the easiest ways a busy team loses hours without noticing. The calendar does not fill up with big strategic mistakes. It fills up with small jobs that keep reopening.
Good workflows protect routine work from growing extra layers. If the task is complete, the result should be captured once, routed to the right place, and visible without someone having to retell the story. The point is not speed for its own sake. The point is to stop wasting attention on work that already should have been finished.
